Part-time Finance Officer (30 hours per week)

About the Client:

VWA is currently partnered with a Northwest London-based Foundation, which helps to fund innovative research projects undertaken by one of London's hospitals. The foundation's mission is to improve the lives of patients affected, which is achieved though research, education and the sharing of clinical excellence.

About the Part-time Finance Officer Role:

Reporting to the Finance Manager and also working closely with the CEO, this Part-time Finance Officer will be responsible for the day-to-day bookkeeping and ad hoc administrative tasks at the Foundation. Duties will include:

  • Maintaining the accounting records on Sage 200 / AccountsIQ software including:
    • Inputting all purchase invoices and ensuring that they are authorised and coded to the correct project and centre
    • Inputting donations received via online fundraising platforms by allocating to correct donor as well as correct project and centre
    • Inputting all bank transactions and reconciling CAF bank accounts and Lloyds credit card on a daily basis
    • Banking all monies received
    • Paying purchase invoices via online banking, cheque or foreign payments
    • Producing and sending out ad hoc sales invoices
    • Producing Gift aid claim forms on monthly basis
  • Liaising with Budget holders to get approvals for the invoice payment requests
  • Sending project income and expenditure reports to the Budget holders as required
  • Uploading CAF vouchers on CAF Donate web portal
  • Setting up online payments on the weekly basis
  • Maintain Academic Institute's sales ledger and assist with updating Salesforce database as necessary
  • Producing monthly detailed fundraising report for the Fundraising Team
  • Assist with month reconciliations and financial reporting accurately and in a timely manner
  • Assist Finance Manager with setting up annual budgets
  • Maintaining filing system for documents, including Gift Aid declarations
  • Carrying out various administrative tasks such as ordering stationery
  • To undertake other duties from time to time as directed by the Finance Manager and CEO.

Required Experience and Skills:

  • Prior experience working in a finance department
  • Charity sector experience is ideal
  • Experience in financial administration
  • Knowledge of Microsoft Office, particularly Excel and Sage/AccountsIQ (or similar)
  • Excellent organisational skills with a methodical approach, accuracy, and close attention to detail
  • Approachable, and team-orientated working style.
