The Client:

An established investment management firm based in St. James's in a modern office are looking for a bright and enthusiastic individual to join the team during an exciting period of growth. This is a newly created position and is a fantastic opportunity for someone who has some office-based experience and is looking for their next challenge in a client facing role.

The Role:
Office Assistant duties will involve, but are not limited to:

  • Supporting the admin team with the day-to-day running of the office
  • Assisting lines of communication and streamlining office processes
  • Supporting Executive Assistants with any tasks, including providing holiday support for the administrative staff
  • Managing and preparing meeting rooms, including being solely responsible for the meeting room booking system
  • Screening calls and taking messages in a professional and friendly manner
  • Greeting all guests
  • Ordering and collecting food for the office
  • Scheduling meetings (virtual and in person)
  • Arranging couriers (national and international)
  • Daily management of refreshments, newspapers and facilities e.g. coffee machines
  • Collecting and distributing company post
  • Preparing meeting packs
  • Basic travel management
  • Ad hoc administration as required

The Successful Office Assistant will:

  • Be available ASAP and happy to be in the office 5 days a week
  • Be a team player
  • Ideally have some experience in a corporate environment (including from within work experience)
  • Be able to anticipate the needs of the team and offer support/assistance as and when required
  • Have strong Microsoft Office skills
  • Be confident, professional and able to use their initiative
  • Be eager to learn and able to hit the ground running

The Details and Benefits:

  • Sit with the admin team and not on a reception desk alone
  • £28-30K, depending on experience
  • Standard hours are 8am-5pm, with flexibility required
  • This position is office based
  • Benefits including private health care and a pension contribution
  • There is scope for this position to become permanent if the initial 12 months are successful
