VWA is recruiting a super Executive Assistant opportunity to join the Human Resources team of this highly successful Private Equity firm. The team comprises of seven employees based in London and Dublin. The HR Executive Assistant reports into the Head of Human Resources for EMEA and is enthusiastic about supporting all aspects of HR processes throughout the talent life-cycle.

Kindly note, this role will require full, office presence, Monday to Friday.

The Role:

Responsibilities for this Executive Assistant role will range from however not limited to the following:

  • Outlook diary management for HR Executives, including the Managing Director - ability to manage frequent changes to schedules
  • Travel and expense processing, ensuring compliance with the company's Global Travel Policies and preferred vendor programs
  • Work with a third-party provider for invoice processing
  • Collate and circulate agenda for EMEA HR monthly team meetings
  • Assist HR Coordinators with on/off-boarding of employees; liaise with IT, Finance, Benefits, and other internal teams
  • Oversee the quarterly security audits with Reception team and working with HR Coordinators to update Workday to reflect necessary changes
  • Organize and coordinate training logistics for the EMEA Professional & Executive populations; maintain records of the training courses and attendance
  • Coordinate scheduling for HR team selection processes and interviews
  • Other ad-hoc HR projects

Candidate Requirements:

  • Excellent written and oral communication skills
  • Advanced Microsoft Office skills: Outlook, Word, PowerPoint & Excel
  • Ability to work to a high degree of accuracy with strong attention to detail
  • Strong project management skills, ability to prioritise and multi-task high volumes of workload
  • Experience working in a fast-paced industry, role and corporate environment

Desirable Requirements:

  • Experience of building orientation schedules for new hires
  • Experience working with Concur for expense management, travel booking and invoice coding
  • Experience working within an HRIS (Workday or similar HC database)
