The client:

VWA have taken on an excellent opportunity with one of our long-standing clients; a globally leading investment firm based in Mayfair. The firm are looking for an Events Coordinator to join the team.

The role:
Event Coordinator duties will include, but are not limited to:

  • Supporting the team lead with diary management, travel booking and expenses
  • Supporting the wider EMEA Events Team in order to maximize day-to-day operations
  • Establishing, developing and maintaining relationships with different vendors
  • Managing invoice payments and vendor onboarding
  • Diary management of events
  • Ordering and managing branded merchandise for events
  • Managing hotel rooming lists for all events
  • Negotiating contracts with vendors
  • Coordinate logistics to ensure seamless event execution
  • Track event metrics, feedback and curate post-event analysis in order to continually improve events
  • Streamline event registration and guest management
  • Ensuring vendor and venue information is up to date
  • Managing meeting rooms and courier requests
  • Ad hoc administration

The successful candidate will:

  • Be professional and personable both in-person, over the phone and over email
  • Be efficient and able to manage own workload
  • Ideally have experience with Concur, Coupa, Cvent and Zoom
  • Have experience working on events, experience within the financial services is desirable
  • Have excellent time management skills
  • Be customer service orientated and able to anticipate requests
  • Be immediately available and happy to work out of hours occasionally on site at events
